Abstract

Safe Haven’s transportation department currently relies on a paper-based documentation process that requires physical transfer of records between buildings and repeated manual uploading of documents into storage systems. This workflow creates delays, redundant administrative tasks, and increased risk of misplaced or inconsistent records. Drivers, transportation coordinators, reviewers, and clients all interact with this process, making efficiency and data accuracy critical to daily operations.

This project develops a web-based transportation scheduling system designed to digitize documentation workflows and automate many of the repetitive tasks. The system replaces physical records with digital data management, reducing unnecessary manual handling and improving information accessibility across user roles.

The application is built using a TypeScript-based frontend which is then deployed on Vercel. The frontend communicates with the backend services through edge functions designed for specific tasks. Supabase serves as the relational database and authentication provider, supporting secure data storage and real-time updates. This system supports role based permissions, ensuring that drivers, coordinators, reviewers, and clients access only appropriate data and functionality they require.

Core capabilities include transport documentation management, secure file storage, workflow automation for transportation submission and review, and structured data tracking across transportation operations. This is necessary since Safe Haven is a non-profit that relies

on grants which require detailed records of these transportations. By streamlining record management and eliminating redundant manual processes, the system improves efficiency, enhances data integrity, and provides a scalable foundation that can be extended to additional departments or similar nonprofit organizations.
